Enabling Member Cancellations Online

Empower your members with the ability to cancel their bookings and memberships online—on their terms, within the limits you define.


Step One - Enable Cancellations for Classes and Services

Manage online cancellations for both Classes and Services from the Member Portal Configuration section.

  • Go to Settings > Advanced Configuration > Member Portal Configuration
    • Select the Classes tab to enable:
      • Enable cancellation of class bookings online
    • Select the Bookings tab to enable:
      • Enable cancellation of service bookings online

Step Two - Define Default Cancellation Settings

Once cancellation is enabled, the same options appear for both classes and services.
These define your global cancellation rules, but can later be overridden per item.

Cancellation Options

  • Minimum Cancellation Period
    How long before the session starts a member is allowed to cancel online.

  • Cancellation Mode
    What happens when a member cancels

    • Forfeit Full Fee – No refund provided
    • Refund - No Change – Full refund/credit given
    • Charge Fee for Cancellation – Member charged a custom fee
  • Booking Cancellation Fee
    (Only applies when “Charge Fee for Cancellation” is selected)

  • Cancellation Fee Period
    Defines the time window before booking where the fee applies

    • Leave blank to apply the fee at any time Note- This does not apply if mode is Remove Charge

These defaults apply across all bookings, but you can override them per class or service by editing the individual item in Settings > Bookings and Classes


Step Three - Enable Membership Cancellations

Manage online membership cancellations separately from service and class bookings.

Go to Settings > Advanced Configuration > Member Portal Configuration

  • Select the Membership tab
  • Enable membership cancellation via Member Portal

Membership Cancellation Options

  • Cancel Membership
    Members can cancel their membership directly.
    Cancellation becomes active after the configured notice period.

  • Request Cancellation
    Sends a cancellation request to staff (delivered to your club’s email, as set under Club Details)

  • Membership Cancellation Notice Period
    Define how many days’ notice is required before a cancellation can take effect
