Member Holds

A Member Hold is a temporary suspension or freeze of a member’s membership plan, initiated by member or staff.
When a member or Staff places a member / membership on hold, they typically pause their payments and access to the gym for a specified period of time.
A member hold may be applied to one or all memberships held by member.

Manual Holds

Manual holds are the process of gym staff manually placing a member’s account on hold.
This may be due to member request, holiday or illness, or initiated by staff in response to a member behavior.

Setup Manual Holds

Default settings for holds are configured within Advanced Configuration.

  • Go to Settings > Advanced Configuration

    • Select Member Holds from the side bar
  • Configure the following options;

    • Default Hold Type - this is the default selection. When adding hold manually, staff can alter this selection.
      • Free - member pays no setup fee and no membership fees during hold
      • Setup Cost - member pays a one-off fee for setup, with no ongoing fees during hold
        • Set up Default Setup Cost for Holds
      • Ongoing Fee - member pays ongoing fee which is altered from usual fee
        • Set up Default Ongoing Fee for Holds
        • Not available while Disable Billing During Holds is checked
      • Continue Regular Billing - member continues to pay full amount during hold
        • Not available while Disable Billing During Holds is checked
    • Default Ongoing Fee for Holds - define ongoing fee
      • Applies only when hold type is set to Ongoing Fee
    • Default Setup Cost for Holds - define setup fee
      • Applies only when hold type is set to Setup Cost
    • Cancel Bookings During Hold - All upcoming bookings within hold period will automatically be selected for cancellation
    • Disable Billing During Hold - Charges will not be generated during hold. Note that existing unpaid charges will still be billed during hold period
    • Disable Benefit Generation During Hold - Disable automatic generation and rollover of benefits while member is on hold
      • This will not affect benefits with unlimited uses
    • Disable Unlimited Benefits During Hold - Disable benefit usage for unlimited benefits while member is on hold
      • This will not affect benefits with limited uses
    • Yearly Hold Limit Length - Total amount of time a member is allowed to be ‘on hold’ per year, based on their join date.
      • This affects both holds added by the member and by staff
    • Yearly Hold Limit count - Total number of times a member is allowed to be ‘on hold’ per year, based on their join date.
      • This affects both holds added by the member and by staff

Apply Manual Hold

  • Go to Find Member > Member Details > Membership Tab

    • Select Hold Membership
  • Select Membership/s you wish to add hold

    • Add Reason for hold (optional)
    • Select Start date of hold
    • Select End Date OR Duration of hold
    • Select fee for adding hold;
      • Free
      • Setup Cost
      • Ongoing Fee
      • Continue Regular Billing
    • Enable End Hold on Member Return to end the hold earlier than the selected end date if the member returns before the hold period is over
    • Select Prorata Membership Fees to charge the member a proportional part of the fees based on the timing of the hold
    • Enable Disable New Bookings and Classes to prevent the member from enrolling in classes and bookings during the hold period
