Bookings and Classes

Setting up trainers will create a schedule for each of your trainers.
It then becomes possible to Schedule Services to your trainers.


Trainers are staff who are trained to run your personal training services.
Any of your staff members can be selected as an instructor for a class; however one-on-one personal trainers must be set up as a Trainer.

To add your trainers to schedule, first;

  • Complete Club Details

  • Add Trainers to GymMaster via Add Staff Members

    • Select Staff Resource under the Trainer tab.
  • Complete trainer Rosters.

    • Roster is used to assign time on schedule when Trainer can be booked for sessions; it may not reflect full working hours
  • Setup Facilities

  • You can then;

    • Add Trainer Categories
    • Edit Trainer

Trainer Categories

Categories can be a useful tool for organizing your Trainers by group, making it easier to manage, view schedules, and generate reports. For example, you might want to create broad groups like ‘Advanced Trainers’.

  • Go to Settings > Bookings and Classes > Trainers > Category List
    • Click on Add / Edit Category
    • Complete details
      • If you choose to use the default categories provided, make sure to Edit the Category by clicking on the black edit icon
        • This will ensure that the default options suit your specific requirements
  • Note, the Period setting refers to the time blocks that will be displayed on your schedule. For instance, selecting 15 minutes would allow you to book a class or service to any Trainer within that Category every 15 minutes from the top of the hour (e.g., 12:00pm, 12:15pm, 12:30pm, and so on)

Add Trainers

New Trainers are added first under User Administration, selected as Is a Trainer and Staff Resource under the Trainer tab.
They will then appear under Bookings and Classes on the Trainer page.

Edit Trainer Settings;

  • Go to Setting > Bookings and Classes > Trainers
    • Edit your Trainer setup by clicking on staff name or selected black edit icon
      • Edit name if required and apply staff category
      • The roster for your staff member will be selected by default
      • Select the Service categories your trainer is able to be booked for
        • If your service categories are not yet created, make note to return to this selection at a later point
  • Save
