Membership Guides

Creating Your Memberships

Memberships form the core agreement between your club and your members. They define exactly what a member is entitled to access, such as doors, classes, services, bookings, and product discounts, as well as how and when they are billed for those benefits.

Because memberships bring together many different parts of GymMaster, they are typically created later in the setup process.

Step One - Membership Categories

Membership categories define functional settings that all memberships added under the category will inherit.
Settings selected here will automatically apply to every membership created within the category.

  • Go to Settings > Membership Types > Membership Categories > Add Category.
  • Enter the all category details and save.
  • Save, and move onto add membership type.

Membership Types are the different types of Memberships the club offers to its members.
Memberships can vary based on the level of access or benefits that are included with the membership, as well as duration or payment frequency of membership.

Work through each section carefully; view additional guides which elaborate on particular areas.


Membership Type

Start by defining the membership’s identity and structure. These settings form the foundation for all pricing, billing, and access rules that follow.

  • Give the membership a clear and recognisable name. This is what members will see when signing up or reviewing their account.
  • Select a category. Categories group similar memberships together and apply shared settings. If needed, create a new category before continuing.
  • Then, choose the club or clubs where this membership is valid. This setting works in combination with door access benefits to control physical access.
  • Next, select the Membership Basis. This defines whether the membership is ongoing, time-limited, pack-based, or a trial. The basis determines how long the membership lasts, how it can be billed, and which payment frequency options will be available in the next step.

Payment and Fees

After defining the membership’s structure, you need to set the financial details. This section determines how much members pay, how often they are billed, and any additional fees or promotional options.

  • Select payment frequency; this determines how often members will be charged for their membership. The Membership Basis selected earlier determines the available options
  • Set the Membership Fee, which is the amount the member pays per selected payment frequency. Fees are always collected in advance.

If required, add any of these additional options;

  • Sign-up Fee: Decide if there will be a one-time sign-up fee. This fee is charged in addition to the membership fee and is applied when a new member joins.
  • Promotional Period: Offer a promotional rate for a limited time to encourage new sign-ups. Options include:
    • Promotion Price – set a discounted membership fee for the promotional period.
    • Free Until – allow new members to use the membership at no cost for a specified period at the start.
  • Shared Membership: Determines if the membership can be shared among multiple users, such as families, couples, or groups.

Membership benefits define the perks, privileges, and limitations included with a member’s plan. They determine what a member can access and any discounts or extras they receive. Common benefit types include:

  • Classes: free or discounted access to group classes
  • Services: free or discounted access to additional services
  • Door Access: access to specific doors or clubs during designated hours
  • Products: member discounts on retail items
  • Guest Passes: ability to bring a friend or family member to the club

Take your time to ensure these are set correctly, as they form the foundation of each membership.

New memberships automatically receive default benefits:

  • Access to all doors at the membership club(s) during Open Hours
  • Unlimited access to all classes, free of charge

If these defaults are not required, use the black edit or red delete icons to adjust the benefits.


Sell Membership Online

Note: When online membership are be enabled in your Membership Type settings, this membership will appear online even if Quick Sign-Up or Online Sign-Up aren’t selected. The options control what is available during sign-up and who can purchase this membership.

Buy Links and Quick Signup Links provide URLS which can be used in promotions and within your website to link members directly to a sign up page for this membership.

  • Select whether the membership is available for everyone to purchase, or only existing or new members.
  • Add a description that briefly describes membership to members online, and use the sort order to determine which order membership will show within it’s category.
  • If you allow new sign ups the option to sign up for memberships online but pay when they first enter the club, tick allow pay later.
  • To override the usual sign-up confirmation page for this membership, input a redirect URL here.

Forms

Select the forms and waivers to be attached to your membership. These may include;

  • Membership contract
  • Terms and Conditions
  • Waivers
  • Questionnaires

These will be viewed and signed by member upon sign up.


Save


Tip: To save time when creating multiple similar memberships, open an existing membership and select Duplicate in the top right.
Update the copied details (including the membership name), make any required changes, and save.
