Before we can move your data into GymMaster, there are a few important steps to help ensure a smooth, accurate transfer.
This section will walk you through what we need from you, what to expect, and how to get everything ready.
The simplest, most cost-effective way to transfer your data is for you to supply it directly, using our standard spreadsheet template.
This template is designed to make things as straightforward as possible—fill it out correctly, and you’re halfway there.
⚠️ Note that raw data usually needs cleaning and reformatting before we can import it.
If you’ve got raw exports from your old software or billing provider, that’s a great start — but heads up the process of cleaning and reformatting will take addition time, and will incur an additional fee. This process can be done by you.
Accurate setup for your memberships is critical — it ensures your members are billed correctly and have the right access privileges from day one.
Because every club management system uses different terms and formats for memberships, it’s essential that we’re on the same page.
To help with this, we’ll typically ask you to complete our membership summary spreadsheet.
This ensures we clearly understand the types of memberships you offer and how they should be set up in GymMaster.
Before we begin the full transfer, we’ll need to see a sample of your current data.
This helps us understand how it will fit into the GymMaster system and gives us a chance to clarify any differences in terminology between platforms.
You know your club best — your insight is essential to make sure your data is interpreted and imported correctly.
Once the data format is clear, it’s time to notify your existing providers that you’re making the move to GymMaster.

We recommend selecting a date that’s at least a few days before GymMaster is due to take over billing — this gives us a buffer for testing and adjustments.
Once confirmed, you’ll pass this date on to your providers (mentioned in Step Two) so everyone is on the same page.
