Trainers can set up the back-end of their workout programs, measurement settings and grading levels to apply to members

Grading Configuration

Track member progression through grades, such as martial arts belts or swim school levels

A discipline is a program a member progresses through, for example Karate or Junior Swim. Each discipline has a list of grades in order, for example White Belt, Yellow Belt, Green Belt.

Turn on Grading

Go to Settings > Advanced Configuration > Member

  • Tick Grading and progression tracking
  • Save

Grading Configuration now shows in the Settings menu, and each member page has a Grading tab.

If you turn Grading off later, the disciplines, grades and member progress are kept. They show again when you turn it back on.

Add a Discipline

Go to Settings > Grading Configuration

  • Select Add Discipline
  • Enter the Discipline Name and a Discipline Description
  • Optional: tick Automatically enroll new members, then select the Membership Category or Membership Type. When a member signs up for a matching membership, they are added to this discipline at the first grade. Members already in the discipline do not change.
  • Select Save Discipline

Add Grades

Add the grades in order, from the first grade to the top grade.

  • Select Add Grade on the discipline
  • Enter the Grade Name
  • Optional: select Add Icon to show an image, for example a belt. With no icon, the colour comes from the grade name.
  • Select the Requirements to progress from this grade:
    • Combined attendance target: facility visits and class attendances counted together
    • Separate visit and class targets: the member must reach both targets
    • Assessment only: staff promote members after an assessment. No attendance target is tracked
    • Final grade: the top grade. There is no further progression
  • Optional: set Minimum time on this grade. The member must also spend this time on the grade before they can progress.
  • Select Save Grade

Visits and class attendances count from the date the member started the grade. A class attendance counts only when the member is checked in.

Assign Members to a Discipline

To add many members at once, select Bulk Assign on the discipline.

  • Assign to all members: every current member is added
  • Assign members with filters: only members with the membership types and age range you choose
  • Optional: tick Calculate initial grade based on visits and class attendances. Each member starts at the grade their attendance history has earned.
  • Check the Preview, then select Assign Members

To add one member, use the Grading tab on their member page. See Member Grades.

Restrict Classes by Grade

Go to Settings > Bookings and Classes > Classes > Edit Class

  • In Required Grade, select one or more grades
  • Only members who hold one of these grades can book the class, in GymMaster, the Member Portal and the App
  • Leave it empty for no restriction

Grading Days

On the class settings, tick Grading Assessment Event. Staff can then promote a checked-in member one grade from the class roster. If the member is in more than one discipline, staff choose the discipline.

Tasks

In Settings > Task Automations, you can make tasks from these triggers:

  • Grading: Member Enrolled in Discipline
  • Grading: Member Promoted
  • Grading: Member Met Grade Requirement: the member is ready for promotion

You can limit each task to one discipline and grade. The triggers look at the last 7 days only. They do not make tasks for old grades when you first turn Grading on.

Reports

Each discipline adds member report fields: Current Grade, Current Grade Visits, Current Grade Days, Current Grade Date Assigned and Current Grade Time. The discipline name is in brackets after each field name.

Delete a Grade or Discipline

When you delete a grade, members on that grade are removed from the discipline. When you delete a discipline, all its grades are deleted and its members are removed. GymMaster shows how many members this affects before you confirm.
