Doors and Readers

Add / Edit Door

Individual doors are added and edited here.
Once connected to GateKeeper and an access method, access is controlled through rules defined in membership benefits and staff access rosters.
Each door can be configured independently, allowing unrestricted access through some doors and restricted access through others, improving security while reducing staff workload and access errors.


Control

Initial settings are applied automatically during the door setup process once your GateKeeper is installed and registered.
Additional configuration is completed manually by club administrators to tailor door behaviour.

Door Number: Automated
Automatically allocated by GymMaster in the order doors are added. Used internally for system references and cannot be changed.

Door Name: Manual
Primary door identifier for staff. Use a clear, descriptive name, as this will be referenced for membership door access benefits and staff access.

Club Associated: Automated
Identifies which club this door is located in.

Installation Date: Automated
Date of hardware installation.

Open Status: Manual
Defines how the door behaves:

  • Locked: No member access; only staff with administrative privileges can enter.
  • Active: Members and staff with valid access methods and benefits can enter within their allowed hours.
  • Unlocked: Door is open to all; suitable for staffed reception periods or internal doors with no limits.

The Visitors page provides a real-time overview of each door’s status. Staff with permissions can lock or unlock doors as required.

Concession Handling: Manual
Determines how visits are logged when a member has both a membership and a concession pack:

  • Count Handling: Counts visits against memberships preferentially; logs visitor on Visitors page.
  • No count of visits: Does not log visits or count against membership/concession pack.
  • Concession Preferred: Counts from concession pack first; logs visitor on Visitors page.

Automatically Book into Class on Resource: Manual
Logs members as booked into a class when they enter through a door at class start time, even without a prior booking.
Useful for tracking walk-in attendance and class benefit allocations.

Associated Resources: Manual

  • Resource Behaviour
    Controls access through this door based on membership or bookings:
    • Booking Required: Members and non-members must have a booking on associated resources.
    • Booking Access: Only non-members require a booking; members with valid benefits can enter without booking.
    • Minutes before booking starts: Determines how early access is allowed before a booking.

Form Restrictions: Manual
Requires signed and valid forms or waivers for access. Expired waivers pause entry until updated. Members can update waivers via the Member App.

Restricted Door Manual
Blocks access for members with All Doors benefits unless a specific benefit allows it.

Female Access Only: Manual
Limits access to female members only.

Exit Checkout Door: Manual
Designates this door as an exit point. GymMaster logs this as the end of a member visit.
Swipe time-out can be set in Settings > Advanced Configuration > Doors and Readers to allow brief exits without counting a new visit.

Hardware Configuration

Stores details of door readers and GateKeeper hardware associated with this door.

Reader Type: Automated
Select the reader type installed. Refer to reader identification guide if unsure.

GateKeeper: Automated
GateKeeper associated with this door.

GK Serial: Automated
Serial number for reference and troubleshooting.

Hardware Version: Automated
Hardware version of the GateKeeper.

Show Clubs GK API Key: Manual
Displays API key to integrate GymMaster with GateKeeper.


GateKeeper Status Message

Change Name of Gatekeeper: Optional
Personalise each GateKeeper’s name for easy reference.

Restart Software: As needed
Restarts GateKeeper software.
Refer to Door Access: Troubleshooting Documentation for guidance.

Reboot GateKeeper: As needed
Restarts GateKeeper hardware.
Refer to Door Access: Troubleshooting Documentation for guidance.


Additional Options

Open Door:
Temporarily overrides locked or active settings.
Opens door for 3 seconds, then returns to default status.

QR Code:
Generates a static QR code for the door, valid for 12 months.

Changes:
Shows changes made to this door and the responsible staff member.

Delete:
Deletes the door. Ensure you understand the impact before deleting; removing a door with hardware may cause access issues.
GymMaster prevents deletion if it is the only door with reader access.
