Members

Members generally refers to Current Members, but can also include Casual Members and Expired Members.
GymMaster provides tools and features to manage and engage with your members effectively.

Many tasks related to members can be carried out through the different tabs within each member’s page

Manage Bookings

Bookings include any class or service reserved by a member. All future and past bookings are recorded under the Bookings Tab within profiles of each of your Members.

Manual Booking

Members can be booked into classes and services in person.
Online bookings can be made by members via Member Portal, when enabled.

  • Go to Find Member - View Member Profile (or go directly to Schedule)
    • Select Booking via Side Menu from any tab, or + New Booking from Booking Tab
      This will take you to the Schedule page
  • Follow instructions at Book Member into Service to make Service Booking.
  • Follow instructions at Book Member into Class to make Class Booking.

View Booking

View Bookings allows you to see bookings history per member. View;

  • All Bookings - All prior and future bookings
  • Upcoming and Past Bookings - Prior and approaching bookings, limited to 2 weeks in advance
  • Future Bookings - All future bookings

Booking record includes;

  • Trainer / Facility and Service / Class
  • Status
    • Booking - Future booking. Yellow color on left indicates future booking
    • Showed - Past booking, member arrived for booking on time. Green color on left indicates member attended booking
    • Showed Late - Past booking, member arrived late for booking. Green color on left indicates member attended booking
    • No Show - Past booking, member did not arrive for booking, no cancellation was made. Red color on left indicates member did not attend booking
    • Cancelled - Past booking, member cancelled prior to booking commencing. Red color on left indicates member did not attend booking
  • Membership Used - Indicates if/which Membership / Pack used with booking
  • Price - Indicates amount member paid / expected to pay. Membership Benefits may provide free / discounted rate
  • Paid - Indicates whether booking has been paid or is awaiting payment
  • Check-In - Indicates whether member has checked in for booking
  • Action
    • Edit - Allows editing of price only
    • Edit Booking - takes you to;
      • Class Booking - Alter status, cancel class booking
      • Service Booking - Alter service date / time, status, cancel service booking

Cancel Booking

Member bookings for both classes and services can be cancelled manually.
Online cancellations can be made by members via Member Portal, when enabled

  • Go to Find Member > Member Profile > Booking Tab
    • Find required booking in list
      • Select Edit Booking icon under Action
        • Cancel Class Booking - Tick
        • Cancel Service Booking - Select Cancel Booking

Manual Booking Check In

  • Go to Find Member > Member Profile > Booking Tab
    • Find required booking in list
      • Select Edit Booking icon under Action

      • Check In to Class Booking - Select Tick icon to right of member name



        Green member card indicates successful check-in

      • Check In to Service Booking - Select Check In


        Swipe Trainer and Member key card to complete manual check in

Enable / Disable Individual Online Booking

Global online booking is enabled / disabled via;

  • Member Portal Configuration > Bookings > Enable Online Booking of Services
  • Member Portal Configuration > Classes > Enable Online Booking of Classes

Temporarily block online booking per member;

  • Go to Find Member > Member Profile > Bookings Tab

    • Select Block Online Booking
    • Select Disable or Enable Online Booking
    • Select Date online bookings will automatically be re-enabled
  • Save
