- Go to Find Member > Member Details > Communication
- Select Send SMS
- Write your message
- Click Send
Bulk Messaging
Full Guide: Group Communication
Send a one-off message to a selected group of members or staff using Reports. You can choose a suitable report and apply filters to identify the recipients.
- Go to Reports and Till > Standard Reports
- Select a report matching the group you want to contact
- Select Edit to apply filters, or select Show Report
- Select Send SMS
- Select all recipients or choose specific people, then click Next
- Write your message and click Send
This process does not use SMS templates or task automation. The message can, however, be personalised using template fields.

- Go to Schedule and select the class
- Select SMS Attendees
- Select all attendees or choose specific members
- Click Next
- Write your message and click Send
Create SMS Templates
Full Guide: Creating Communication Templates
SMS templates let you save messages for reuse. GymMaster includes pre-created templates, which can be reviewed and customised before creating new ones.
Templates can include personalisation fields, such as a member’s name or start date, so that the message can include details specific to each recipient.
- Go to Settings > Templates
- Create a new SMS template or edit an existing one
- Enter a template name
- Optionally select a category
- Choose which club or clubs can use the template
- Write or edit the message
- Use Insert Field to add member-specific information
- Save the template
Automate SMS Messages
Full Guide: Tasks Overview
SMS templates can be used in Task Automation to send messages in response to defined member events. Depending on the task configuration, messages can be sent automatically without staff needing to send them manually.
Examples documented by GymMaster include birthday messages and communications triggered by member events. The manual also describes automated booking and payment reminders.
- Go to Settings > Task Automation
- Select an existing task template or create a task
- Configure the trigger and relevant task settings
- Select the SMS template to use
- Enable automatic sending where required
- Save the task
Review the task settings carefully before activating a task. Preloaded task templates need to be reviewed and activated before they run.
Settings and Delivery
Opt-Out Messages
GymMaster can append an unsubscribe message to SMS communications.
To configure the message, go to Advanced Configuration > Communication. Members can unsubscribe by replying STOP.
Member App Notifications
Depending on the communication settings, SMS messages may be delivered as notifications through the GymMaster Member App. Automated tasks can also be configured to try an app notification before falling back to SMS, send an app notification only, or send both.
Sending both SMS and app notifications can result in a member receiving the message twice if both communication options are enabled.
Sleeping Members
When the sleeping-member feature is enabled, sleeping members are excluded from bulk SMS messages by default. They can be included in an individual bulk send by enabling the option to include sleeping members in the recipient list.
Sleeping members can still receive individual messages, booking reminders, failed payment messages, and other task messages.
View Communication History
A member’s Communication tab contains their communication log, including SMS and email records. The log shows the date, subject, sender, and status, and includes search and filter options.
- Open the member’s details
- Go to the Communication tab
- Review the communication log or use its search and filters
Troubleshoot Failed Messages
Full Guide: Resolve SMS Batches
GymMaster provides an SMS batch resolution page for investigating messages that have not been sent successfully.
The documented statuses include Pending, Not Sent, Process, Sent, and Failed. The page explains the statuses and provides options to retry or discard pending messages. Failed messages may include a reason to help identify the issue.
Integrate a Twilio Account
Full Guide: Integrate SMS System with a Twilio Account
GymMaster can integrate with Twilio so that SMS messages are sent from a dedicated Twilio phone number. The setup includes configuring the Twilio account in GymMaster, setting up reply handling, and completing number verification.
Twilio integration is an additional setup process, not a required step for every SMS workflow described above.
