Passcode Access: Setup and Assign

Passcodes are a simple and convenient way to give members and casual visitors access to your club. Each passcode is unique and linked to an individual account, and can be assigned during signup or booking.Because passcodes don’t require a key fob or a mobile phone, they’re an easy and accessible option for members signing up online.

Passcode access is always tied to the member’s current account status. This means members can only enter the club within the door access limits of their active membership or casual booking. If there are failed billing attempts, active holds, expired memberships, or cancellations, access will be temporarily denied until the issue is resolved.

Passcodes can be assigned manually to existing members, or generated automatically for new members who sign up online.
Each member is assigned a unique passcode, which can be set manually by staff or generated automatically when a member purchases a membership online.

GymMaster-supported passcode readers can also read key fobs, so you can offer both access methods if needed.


Step One: Setup passcode hardware

To use passcode access, your club will need compatible door hardware and passcodes assigned to members.
GymMaster passcode devices support both passcode and key fob access.
Contact your GymMaster Sales Representative to confirm hardware compatibility and integration requirements. No additional configuration is required within GymMaster to enable passcodes once compatible hardware is connected.


Step Two: Assign passcodes to existing and new members

Existing Members:
You can assign a passcode to members who are already in the system.
Go to Member Page > Details Tab > Fob / Token. Click the Passcode field to enter a unique number chosen by the member, or use the edit option to generate a random unique passcode.

If this section is not visible in your version of GymMaster, contact GymMaster support.

New Members:
When a new member signs up online through the Member Portal, a passcode can be automatically generated and assigned, giving them immediate access without staff involvement.

To enable this at the membership level, go to Settings > Membership Types > Membership Category > Edit > Access Control Edit, then enable *Assign a Passcode.

Once assigned, members can view their passcodes in the top bar of the app home screen and on their member details card in the Member Portal.
Members can access the club using their individual passcode within the door access limits defined by their membership.
