This guide assumes GymMaster is already integrated with supported passcode door readers and hardware.
Passcodes are a simple and convenient way to give members and casual visitors access to your club. Each passcode is unique and linked to an individual account, and can be assigned during signup or booking.Because passcodes don’t require a key fob or a mobile phone, they’re an easy and accessible option for members signing up online.
Passcode access is always tied to the member’s current account status. This means members can only enter the club within the door access limits of their active membership or casual booking. If there are failed billing attempts, active holds, expired memberships, or cancellations, access will be temporarily denied until the issue is resolved.
Passcodes can be assigned manually to existing members, or generated automatically for new members who sign up online.
GymMaster-supported passcode readers can also read key fobs, so you can offer both access methods if needed.
You can assign a passcode to members who are already in the system.
Go to Find Member, select the relevant member account, then open the Details section of the Details tab.
Click the Pass code field to enter a unique number chosen by the member, or use the edit option to generate a random unique passcode.
Save your changes.
Once assigned, the member can access the club using their passcode, within the door access limits set by their membership.
When a new member signs up online through the Member Portal, a passcode can be automatically generated and assigned, giving them immediate access without staff involvement.
To enable this at the membership level, go to Settings > Membership Types > Membership Category, select Edit, then under Access Control enable Assign a Pass Code and save.
New members can then access the club using their passcode within the door access limits of their membership.
Once a passcode has been assigned, members can enter the club by typing their passcode into the keypad at the entry door.
