Casual Member Access (Booking-Based Access)

This guide assumes hardware installation is complete and your chosen access method is enabled.
You can now assign automated, individual access to casual members based on their bookings instead of a membership.

By default, GymMaster requires members to have a membership to gain door access. However, doors can be configured to grant access based on bookings alone, allowing casuals (non-members) to enter the facility if they have a booking on an approved resource.


Automated Casual Member Access Requirements

Automated access for casual members requires:

  • Casual members to pre-book a class or service before entry
  • Door settings adjusted to allow booking-based access without a membership
  • An assigned access method, which may include:
    • Bluetooth access (assigned automatically, Member App required)
      • Enable Assign Bluetooth Access Tokens to casual bookings
    • Key fob (assigned manually)
    • Passcode (assigned manually)
    • QR Code access (Member App required)

Setting Up Booking-Based Door Access

To allow casuals access via bookings:

  • Navigate to Settings > Doors & Readers
  • Select the door you want to configure and click Edit
  • Locate Associated Resources
    • Choose the facilities or staff resources that should grant access when a booking exists
    • Configure Resource Behaviour:
      • Bookings Required: Only grant access to visitors with a booking on one of the listed resources. Members without a booking or non-members without a booking cannot enter.
      • Booking Access: Grant access to visitors with a booking, even without a membership. This does not affect members with memberships.
  • Define the Access Window
    • For example, allow entry 10 minutes before a booking starts and a few minutes after it ends
  • Save changes

Example: If you want visitors to enter the Spin Room only during their booking, set:

  • Associated Resource: Spin Room
  • Access Window: 10 minutes before booking starts

This ensures casual members can only enter close to their session time and prevents lingering.


Assign Access Methods to Casual Members

Key Fob

Key fobs can be assigned manually by staff to casual members in the same manner as they would be to your regular members, with access being limited to booking times.

Create or go to the details tab of the member page for your casual member.
Click the Assign Key Fob field and swipe an unassigned key fob.
Save.

Bluetooth Access

Requires Member App Access

When a casual member books online, a temporary Bluetooth Access Token can be generated automatically Enable automated token assignment via Settings > Advanced Configuration > General then Assign a Bluetooth Access Token when booking

QR Code Access

Requires Member App access:

Casual members booking online can be granted QR Code access for that booking.
Requires QR Code access setup on the door.


Member App Access

Required for Bluetooth and QR Code access.

Casual members can use the Member App for bookings and door access. Enable the following options; ( Member Portal Configuration > Bookings, select Enable non-members to book online Member Portal Configuration > Members, ensure Allow only current members to access portal is disabled. !!is this outdated?

Login credentials:

  • Email address used during booking
  • Password created during booking

Once logged in, casual members can access the facility using their assigned method (Bluetooth or QR Code) for the duration of their booking.
