Once your Prospect Funnel is configured, staff can use the Prospects page to manage and track all leads in one place. This view provides a clear snapshot of where each prospect currently sits in the funnel, making it easy to prioritise follow-up and identify who needs attention next.
When fully built out using task automation, your prospect funnel can be almost entirely automated, shifting prospects from one stage to the next when particular conditions are met.
For those times when staff do interact with the funnel directly, perhaps after making personal contact with a potential member, prospects can be moved through the funnel by dragging and dropping their prospect card left or right between stages.
If a prospect indicates they are no longer interested in joining, their card can be automatically moved into ‘Not Interested’ or manually dragged below the Not Interested line, removing them from the active funnel.
The search panel allows staff to quickly filter and refine the list of prospects shown in the funnel view.
Search Prospects
Search by name, email address, or phone number to locate a specific prospect.
Sales Representative
Filter prospects by the staff member linked to their initial expression of interest. This is useful for managing personal pipelines and reviewing individual follow-up performance.
Last Contacted Since
Filter prospects based on how long it has been since the club last made contact with them.
This is calculated using the most recent logged interaction, such as an email, SMS, phone call, or staff note.
Using this filter helps identify prospects who have not been contacted recently and may require follow-up, ensuring no leads are unintentionally overlooked.
Tags
Refine your search using prospect tags. Tags allow you to group prospects by campaign, enquiry type, or any custom classification used by your club.
Show Snoozed Prospects
Include snoozed prospects in your search results.
Snoozed prospects are temporarily paused within the funnel at their current stage, with all automated tasks and actions suspended until the snooze period ends.
Prospect stages are defined in Settings > Custom Fields > Prospect Funnel Stages; or use the shortcut Settings from this page. These stages represent each step in your club’s prospect journey, from first enquiry through to conversion or disengagement.
Default stages may include Expressed Interest, Contacted by Staff, and similar milestones, but these can be customised to reflect your club’s sales process.
Each prospect card includes an Actions menu, providing quick access to key interactions and management options.

Snoozing a prospect temporarily pauses their progress within the funnel.
You can snooze a prospect for a defined period or until a specific date.
While snoozed:
Once the snooze period ends, automated tasks and communication resume based on the prospect’s current stage.
To manually unsnooze a prospect, enable Show snoozed prospects in the search panel, then select the snooze icon again on the prospect card.
Selecting Add Prospect opens the Add Member page, with the record automatically set as a prospect.
Any prospect added here will enter the first stage of your Prospect Funnel (for example, Expressed Interest), unless a different starting stage is selected while entering their details.
This ensures all new leads are immediately captured and included in your funnel workflow.
