Moving Members to a New Billing Provider

If you decide to switch Billing Providers, GymMaster gives you a couple of options for making the transition.
The best approach depends on your business model, your preferred timeline, and whether your new Billing Provider supports token transfers.

Important: While GymMaster does not lock you into any Billing Provider, you should review any contractual obligations with your current provider before making the change.

Which Option Should I Choose?

  • Self Migration - Facilities that are happy to transition members gradually and manage two providers temporarily
  • Token Transfer Migration - Facilities that want the fastest migration with minimal impact on members

Self Migration

The simplest way to switch providers is to update your Billing Provider settings in Settings > Financial Configuration > Billing Provider and enter your new provider credentials.
Once this is done:

  • New member sign-ups will use the new Billing Provider
  • Existing members who update their billing details will be moved to the new Billing Provider
  • All other members will continue billing through the previous provider until their details are updated

This approach requires minimal setup but can take time, as members gradually move across to the new provider. During this period, you’ll need to manage both billing integrations.


Speeding Up the Migration

To encourage members to update their billing details sooner, you can:

  • Send bulk emails or notifications
    • Include a direct link to update payment information
  • Use Stop at Gate tasks for members who have not yet updated their details

Send a Bulk Communication

You can contact members and ask them to update their payment details. For instructions, see Contacting all of your Members.
We recommend using a Current Members report and filtering for members with a recurring payment frequency.

Optional filters include:

  • Last Visit Date
  • Membership Status
  • Membership Type

When creating your email, insert the template field: Member Update Payment Info URL.
This creates a unique direct link for each member that:

  • Automatically logs them into the Member Portal
  • Takes them directly to the Update Payment Information page
  • Allows them to enter their new billing details without needing to log in manually

Stop Members at the Gate

Once you’ve given members reasonable notice, you may wish to prevent access for anyone who has not updated their billing details.
Our support team can assist with adding Stop at Gate tasks in bulk.
When affected members attempt to enter the facility:

  • Access will be blocked
  • Staff will see a message explaining what action is required
  • Staff can assist the member with updating their billing details
  • The Stop at Gate task can then be completed and removed

Important: Always provide members with advance notice before restricting access, especially at 24/7 facilities.


Token Transfer Migration

If you prefer not to involve members in the migration process, you may be able to transfer billing tokens directly from one provider to another.

In this scenario:

  • Your new Billing Provider supplies replacement billing tokens
  • GymMaster’s Transfers Team imports the new tokens into your database
  • Members continue billing without needing to update their payment details

This option is often the fastest and least disruptive for members.

Important: Token transfers must be scheduled well in advance and are subject to the availability of the Transfers Team.
