Put Multiple Members on Hold at Once
A hold pauses the selected memberships, preventing members from using those memberships and their associated benefits, including facility access. Billing can also be paused or adjusted depending on the hold settings.
Use a Mass Hold when you need to place multiple memberships on hold at the same time.
Mass Holds are particularly useful when the club is temporarily unavailable, such as when:
- The facility is relocating
- The facility is closed for renovations or improvements
- The club is closed over a holiday period
Before you begin ensure you enable the Mass Hold Tool in Advanced Configuration > Member Holds.
Set up a Mass Hold
- Go to Settings > Club Details > Mass Hold
- Select + Add Mass Hold
- Select the members to include in the hold
- All applicable memberships are selected by default
- Select or deselect memberships as required
- Set the hold dates and options
- Choose the start and end dates
- Choose how Prorata and bookings should be handled
- Review the details and confirm the hold
GymMaster will then apply the hold to the selected memberships. If a large number of members are included, the process may take some time to complete and will run in the background.
Failed Holds
GymMaster may not be able to apply a hold to every selected member.
If any memberships could not be placed on hold:
- Check the Failures column in the Mass Holds list
- Select View next to the relevant Mass Hold
- Scroll to the bottom of the page to see the Fail Reasons
Review any failed memberships individually and determine what action is required.
Manage Mass Hold
You can extend or end an existing Mass Hold if the closure or other event changes.
To update a Mass Hold:
- Select View next to the hold in the Mass Holds list
- Adjust the settings in the Hold Settings section
- Select Update Holds
You can use this to extend the hold or bring the end date forward.
Billing During a Mass Hold
How members are charged during a Mass Hold depends on the hold settings. For recurring memberships, Prorata can be used to adjust the membership value so members are not charged for time they cannot use. For fixed-term memberships, the membership end date can be extended so the member still receives their full membership entitlement.
