How to Place a Member's Membership on Hold

If a member needs to take a short break, maybe for a holiday, medical reasons, or something else, you can put their membership on hold.

Place Hold

  • Navigate to the Membership Tab
  • Go to the member’s profile and click into their Membership tab.
  • In the top right, click Hold Membership
  • You’ll see a screen that looks something like this:

When placing a hold, you’ll need to set a few key details:

  • Reason for the hold Pick the reason, this helps with your reporting.
  • Hold dates - Choose the start and end dates for the hold.
  • Billing during the hold

Billing During Hold

Decide how you wish billing to work during the hold period. The options are;

Billing Option Effect
Free No charges are applied while the membership is on hold
Setup Cost A one-off fee is charged when the membership is placed on hold
Ongoing Fee A recurring hold fee is charged. The billing frequency matches the membership’s normal billing schedule
Continue Regular Billing Regular membership billing continues during the hold period. This option is commonly used when extending the membership end date without pausing payments

Note: Whether billing is allowed to continue during a hold depends on a higher-level setting; see Settings > Advanced Configuration > Member Holds > Disable billing during hold. If something doesn’t behave the way you expect, double-check that setting.


Rules During Hold

Following options will define behaviour during and at the end of the hold.
Note these will apply to membership/s selected only; if member holds multiple memberships, they may still be able to enter / make bookings on those memberships.


Hold Rule Effect
End Hold on Member Return Automatically ends the hold when the member swipes back into the facility. If disabled, the hold remains active and access remains restricted during the hold period
Prorate Membership Fees Charges only for the active portion of the billing period when enabled. If disabled, the full billing period is charged even if the hold starts mid-cycle
Disable Benefit Duration Prevents benefits from rolling over or being generated during the hold period
Disable New Bookings & Classes Prevents members from booking classes or services that fall within the hold period. Only applies when configured across all memberships

Preview and Confirm

After you’ve set everything, click Next to see a preview of how the billing will work during the hold. If it all looks good, confirm the hold.

Once confirmed, you’ll see the hold reflected in the member’s Accounts and Billing > Account History section.
If you spot a mistake, no problem. Just click Edit next to the hold and then select Delete Hold.
You can then recreate the hold with the correct details.
