Six GymMaster Features That Help You Grow Your Gym

Most gyms don’t grow by finding a flood of new members. They grow by converting more of the people who already enquire, and by losing fewer of the members they already have. Here are six GymMaster features that help with both, and where to find them.

1. Let people join online

A lot of prospects find you late at night on their phone. If the only way to join is to call or come in, many won’t.

Turn on online sign-up under Member Portal Configuration > Sign-Up, then mark which memberships can be sold online in Settings > Membership Types. You can link straight to the sign-up page from ads, social posts and your website, or embed it in your site.

2. Follow up every enquiry

Leads go cold quickly. The Prospect Funnel adds anyone who enquires through your website, books a trial or is entered by staff, and shows your team exactly where each person is up to.

Attach tasks to each stage. For example, send a welcome email automatically when someone enquires, and create a task for staff to phone them within 24 hours. Nobody has to remember who still needs a call.

3. Reward members for referrals

Your members already know people who would join. Give them a reason to bring them in.

Set up a referral offer in Financial Configuration > Referrals, such as account credit for the existing member and a free period for the new one. Members can send their referral from the app or Member Portal. A reward delay means the referrer is only rewarded if the new member stays past the delay period.

4. Let members bring a friend

A free visit with a friend is one of the easiest ways to get someone through the door. Guest passes let you add a guest allowance to a membership, set how often it can be used and whether it costs anything, and require the guest to sign a waiver first. Members can register their guest ahead of time in the Member Portal.

Every guest is a prospect you can follow up.

5. Recover failed payments

Failed payments are lost revenue, and members with unpaid accounts often quietly drift away. GymMaster shows the reason each payment failed, as returned by your billing provider, and the Debt Collection Report lists every overdue account with contact details.

You can also automate the response, such as emailing or texting the member to update their card. If billing keeps failing, the member moves to Pending Review (after 4 missed payments by default) so someone looks at the account.

6. Contact members who stop visiting

Members rarely cancel straight after their last visit. They stop coming first. The retention reports under Report and Till > Standard Report > Retention show who has stopped visiting, along with your busiest times.

Use that list to get in touch before they cancel, with an invitation to a new class, a check-in from a trainer or a free session. With automated tasks and templates, you can send these messages without anyone remembering to do it.

Where to start

Don’t try to set up all six at once. If you lose a lot of leads, start with online sign-up and the Prospect Funnel. If membership numbers are flat even though new people keep joining, start with failed billing and the retention reports.
