Custom Widgets

You can make your own dashboard widgets from your reports. A custom widget runs a report and shows the result as a number, a graph or a doughnut graph.

Begin at: Home > Customize > Customize Widgets.

If you do not see Customize Widgets, your club does not have custom widgets on. Contact GymMaster support.

You must have Admin dashboard access to make custom widgets. See Staff Access.

Before You Start

A custom widget shows the same data as a report. Find the correct report first:

  • Go to Reports and run the report.
  • Add the filters that you need, e.g. one membership type or one club.
  • Make sure that the rows are correct.

Then make the widget from the same report, with the same filters.

Widget Types

Type Shows Use it for
KPI Widget One number. It can compare with the previous period New members this month, total sales this week, average visits
Multi-Graph Widget A bar or line graph over time. It can show more than one report Sales for each month, new members compared with cancellations
Doughnut-Graph Widget Segments of a circle Members by membership type, members by age group

Make a Widget

  1. In the Please select… list, select the widget type.
  2. Click +. A new widget shows.
  3. Enter a Name. The name shows on the dashboard.
  4. Enter a Description (optional). It shows under the value.
  5. Select a Dashboard Category if your dashboard has more than one tab. Select N/A for the main tab.
  6. In the Report part, select a Category, then the Report.
  7. Select the Display Mode if the report has one, e.g. current memberships only.
  8. In Filters, select a report column, then click Add. Enter the filter value. Add one filter for each condition.
  9. In Period, set the dates (see Widget Dates).
  10. Complete the settings for the widget type (see below).
  11. Click Test. The widget shows the result. Make sure that it is correct.
  12. Click Save.

The widget shows on the dashboard after you save it. To change its position, or to hide it, go to Home > Customize > Customize Dashboard.

KPI Widget Settings

Combine Data — How will rows from the report be processed?

  • Count the total number of rows: e.g. the number of new members.
  • Take the sum of a field on the report: select a number or money column, e.g. the total amount paid.
  • Take the average (mean) value: select a number or money column, e.g. the average amount paid.

Compare With Previous Period? — Select this to show the change from the previous period as a percentage. Green shows an increase, and red shows a decrease.

Mark positive % increase as negative — Select this when an increase is bad, e.g. cancellations. An increase then shows red.

Subset Filters — Add filters with Add Subfilter to show a part of the total as a bar under the value. Example: the total is all new members, and the subset is new members who joined online. Enter a Subset Description for the bar.

Multi-Graph Widget Settings

  • Graph Mode: select Bar or Line.
  • Each Column Covers: the time for each column, e.g. 1 month.

Each graph is one tab on the widget. Click Add Graph to add one more report to the same widget. For each graph:

  • Select the Report and the Filters.
  • Date Field: the date column that puts each row in a column of the graph, e.g. the join date. If the report has no date column, select a different report.
  • Select a field that will be added together: a number or money column. If you do not select one, the graph counts the rows.
  • Grouping Field (optional): shows a different line or bar for each value of this column, e.g. one line for each membership type. The graph shows the 20 largest values. The other values show as “Other”.
  • Legend: the label and the colour of the graph.
  • Include Multiple Rows: includes all report rows for each member. If you clear it, each member is counted one time.
  • Add together earlier columns in period: each column shows the running total.

Click Duplicate Graph to copy a graph, e.g. to show the same report with a different filter.

Doughnut-Graph Widget Settings

Doughnut Graph Mode:

  • Group By A Value: select a text column, e.g. membership type. Each value becomes one segment. The doughnut shows the 8 largest values. The other values show as “Other”.
  • Group By An Interval: select a number column, e.g. age. Enter the intervals with From and To, e.g. 18 to 30. Leave From empty for “less than”, or To empty for “more than”. You can set a colour for each interval.

Combine Data: each segment can count the rows, or add or average a number column.

Widget Dates

In Period, select the Date Mode:

Date Mode Dates Example
Fixed Start Date From the start of the period to today. Select the period in As Of This month to date
Fixed End Date From today to the end of the period Bookings from today to the end of the week
Fixed Start and End Dates All of the current period 1 to 31 of this month
Offset Plus Duration Starts a number of days, weeks, months or years before (Past) or after (Future) today. Runs for the time in And Runs For The last 30 days

On the dashboard, you can move a custom widget back to earlier periods.

Change, Copy or Delete a Widget

  • To change a widget, change its settings on Customize Widgets, then click Save.
  • Click Duplicate to copy a widget. The copy gets “(Copy 1)” in its name.
  • Click Delete to remove a widget. You cannot undo this.

Good to Know

  • Click a value, bar or segment on the dashboard to open the report with the same filters.
  • The dashboard keeps widget results for up to 1 hour. New data can take up to 1 hour to show.
  • Each widget runs its report each time it updates. Widgets from large or slow reports make the dashboard slow. Use filters and short periods.
  • A dashboard tab can show a maximum number of custom widgets (usually 15). If the tab is full, a new widget is saved but does not show.
  • If a widget shows an error after a report change, open the widget, select the report and the columns again, then click Save.

Staff Access

You can also control who sees what, by managing Dashboard access per staff role.

Dashboard permissions let you tailor each staff member’s view based on their responsibilities.
Assign access levels to ensure your team sees only what they need — and nothing more.
