New Features

• Grading
  • Grading is now available as a Beta feature for facilities to enable, with grade progression and assessments, automatic discipline enrolment, grade-restricted bookings, grade colours, bulk assignment tools, task automation triggers, and “Current Grade” reporting.
  • Grades now have their own tab on the member profile, making them easier to access without going through Training. Member grade cards have clearer progress bars and a labelled Details section, promotion actions show the target grade where possible, and grade-restricted classes now show their requirements before booking.
  • Grading is now easier to find and enable in settings. The grade add/edit form uses clearer requirement options, the Manage page can be filtered by club, membership type and current grade, and discipline actions have been tidied into a simpler menu. Bulk assigning also now starts with a sensible default, and grades are easier to reorder.

General Improvements

• Access Control
  • Gatekeeper versions are now detected automatically during registration, removing the need to manually select the hardware version and reducing the chance of incorrect setup
  • Clubs can now enable Gatekeeper offline email alerts under Settings > Doors & Readers, with a configurable grace period (30 minutes by default) to prevent unnecessary alerts from brief connection issues.
• Booking
  • Members can now reschedule service bookings online in a single action instead of cancelling and rebooking. Staff can also set a notice period for rescheduling. Group services and repeating bookings are not currently supported.
• Communication
  • When “Email Trainer on Cancellation” is enabled, cancelled room bookings without a trainer will now notify the club email instead of skipping the notification.
• Member
  • Member profile photos now automatically detect and focus on the face so they display correctly as a portrait.
• Membership
  • Membership Types can now set a promotional price to run until a specific date using the new “Promotional Period Until” option.
  • The “Relevant Memberships” pop-up now also lists which memberships use the base price for classes and services, making pricing eligibility clearer.
  • Expired incomplete memberships, such as day passes, can now be deleted instead of remaining on the member’s account.
  • Membership categories can now have their own hold rules for minimum and maximum hold lengths, notice periods, and yearly hold limits by enabling “Apply custom hold rules” on the membership category page.
• Member Portal
  • The Member Portal class calendar now distinguishes between classes you’re already booked into and classes that are unavailable because they clash with another booking.
  • Portal forms now use the facility’s “Adult Age” setting to determine when the parent name field is shown, instead of using a fixed age of 18.
• Reports
  • Added a new “Membership Revenue Earned in Period” report that shows membership revenue based on when it was earned rather than when it was billed, making month-end financial reconciliation easier.
  • Added a new “Booking Value” field to commission reports for staff creating custom trainer commission calculations.
• Schedule
  • Waitlist entries can now be edited after they’re created, allowing staff to change which benefit is being used.
  • The Class Schedule now shows the number of enrolled members and maximum class capacity when viewing classes by instructor.
• Staff App
  • The Staff App now shows a member’s remaining service benefit balance when booking them into a service.
• Tasks
  • Added a new “Membership Billing Due” task trigger for creating automated tasks when a membership’s billing is due.
  • “Class Booking Attended” task triggers can now be filtered by membership.
  • The “Not Checked In” task trigger can now be used for service bookings as well as class bookings.
• Misc
  • The Customize Forms menu has been reordered based on common usage, with “Signup” now selected as the default form instead of “Quick Signup”.
  • At multi-club sites, discount codes can now be set to work at all clubs rather than only selected clubs.
  • Expired or spent vouchers can now be recreated by staff using the same voucher code.

Notable Bug Fixes

• Accounting/Billing
  • Maintenance fees now clear correctly when a maintenance-eligible membership is cancelled while the member still has other non-maintenance memberships.
  • Manual billing exports now include the missing information when one member pays charges on behalf of another member.
  • Past payment plan deadline dates are now correctly ignored instead of being treated as manually set owing deadlines.
• Booking
  • Saving a class with a maximum of 0 students now shows a clear notification explaining what needs to be corrected.
  • Unavailable seats on classes can now be edited after the class is created, and are correctly accounted for when determining class capacity and waitlist availability.
• Communication
  • Sending an SMS to an individual member now works correctly.
• Member
  • Copying contact information when adding a linked member now works correctly.
• Member Portal
  • Sign-up
    • Billing dates and amounts are now displayed correctly when billing is set to begin on the club opening date instead of immediately upon signup.
    • Fixed an issue that prevented discount codes from being applied when signing up linked members.
  • Gift Voucher
    • Fixed gift voucher codes to work consistently regardless of capitalisation and prevent related Member Portal errors.
    • Fixed an issue where free gift vouchers with auto-generated codes could incorrectly show a “Missing Code” error.
  • Fixed Member Portal error messages not displaying variable details correctly, such as required age.
  • Fixed signature field styling in the Member Portal to ensure signatures remain clear and readable.
  • Semi-private service bookings with age restrictions no longer appear in the Member Portal for members who don’t meet the age requirements.
• Membership
  • Fixed benefit date calculations when using the “Start on the Monday Before” setting, including Sunday dates and ensuring only weekly, fortnightly, and 4-weekly benefits are shifted to a Monday.
  • Fixed an issue where day pass memberships were not moved to historic status correctly when the first visit was recorded through a manual check-in.
  • Fixed membership renewals incorrectly overriding existing, discount code, or online renewal pricing with the current Membership Type price.
  • Fixed an issue where expired memberships could generate door visit charges when checking in for casual bookings.
  • Members outside the age limit can no longer automatically renew into a follow-on Membership Type.
• Reports
  • The billing forecast now excludes members who can’t be billed, such as cancelled or expired members, providing a more accurate forecast total.
  • The KPI report now correctly counts group service bookings without including duplicates.
• Schedule
  • Member-managed waitlists now use the waitlist cut-off time rather than the booking cut-off time to determine when to send invites.
  • Fixed an issue with online booking blocks due to no-shows not correctly triggering when the block was set to last exactly 1-day.
• Staff
  • Users with ‘restricted’ or ‘kiosk’ member permission levels can no longer add new members to shared memberships.
• Tasks
  • Fixed an issue where the “Class Booking Not Checked In” task trigger could still create a task for members who had checked in.
• Misc
  • Fixed MyWellness integration failures caused by unexpected capitalisation in response data.
  • Fixed an issue that prevented new measurement categories from being added.
  • Fixed an issue that allowed members to be moved to clubs where their membership or billing provider was not available.
  • Fixed an issue where discount codes added to incomplete memberships were not applied correctly.
  • Fixed an issue that allowed class booking prices to be manually edited after a discount code was applied.
  • Fixed direct-link purchases so discount codes are applied automatically without requiring members to re-enter the code.
  • Fixed the display of vouchers used without an assigned member so they now show as “Unassigned” instead of appearing as a broken entry.
